THE MANAGEMENT OF CASH FLOWS OF THE LARGE RETAIL CHAINS WITH 3 POINTS OF SALE.
The file shown on this page is in OpenOffice format and is a simple and easy tool to use for managing the cash flows of a company of the large-scale distribution. It may be useful to companies that sell retail through a network of supermarkets or hypermarkets, such as in the food sector. But it can be useful also to companies that sell others products for example: technology products, clothing, accessories, and more using a network of outlets or other chains of intermediaries of various kinds.
The file is designed to meet the needs of companies of the large-scale distribution which, having to manage multiple stores, have increasingly the need to plan their cash flows and to have, at least in the short term, safety and awareness be able to cope all their commitments given that the financial resources available to them are limited because of the reduction of the credit granted by banks and due to the lowering of the level of self-financing (reduction in profits or increasing losses for the year).
In the site is showed, in short, a model to be used for the planning of the cash flows of large retail companies that manage up to 3 points of sale, making use of the integration of global financial flows of the company and of those of each store of retail.

As you can see, in the image n.1-2 the file " Management of the cash flows of the large retail chains - 3 POS" includes, in addition to the normal financial management of forecast of the company, also the financial management of forecast of 3 supermarkets or hypermarkets or , however, of 3 retail outlets connected with the company.
The cash inflows of the various outlets were divided into:
- cash receipts;
- cash receipts with cash machine;
- cash receipts with credit card;
- other cash receipts;
and, for each point of sale, it has been expected an summary management daily and monthly of all cash receipts.
Thereby, for each point of sale ( this file manage up to 6 point of sale) we will have a financial planning for each type of cash receipts and a cumulative financial planning daily and monthly for the current year (n) and for the year next (n + 1).
In addition, the analytical management of the various stores could ensure a more precise forecast of the cash flows of mass retailers.
Moreover, the file "Managing of cash flows of large retailers" contemplates also the management of financial planning of the purchases.
Whether planning Revenue that of the financial outlays distinguish in the column "day" the days of work with the following letters:
"F" festivity day;
"SF" half festivity day;
"EMPTY" business day;
The above to get a more reliable financial planning.
The user should take care to include in the prospectus the amount of the purchases and of the sales of the previous year and the current year. The amounts of the purchases and of the sales of the previous year must be inserted, obligatorily, each year at the exchange for each accounting year.
In the current year, instead, this value must be entered (and saved) month by month, at following the accounting record of the amounts of the sales and of the commercial purchases. You will have to take care to insert in the prospectus, the value of purchases and sales of the previous year and the current year. The value of purchases and sales of the previous year (n-1) it must be inserted each year at the exchange rate of each accounting year.
Just in case the actual data are not available, the user could to insert in the prospectus the data probable or close to those accounting taking care, however, to replace them as soon as will be in possession of the actual ones.
If the forecast data of sales and of the purchases do not meet your expectations you can replace them with the data probable. It is certain, however, that the actual data will have prevalence on all and they will go to overlap on those forecasted and on those likely.
The data probable of the sales and of the purchases, however, shall prevail and will go to overlap to the forecasted data.

The picture shown highlights a summary of cash flows broken down by type, by month, by each bank (supports up to 13 banks), by cash (handles up to 5 ordinary cash accounts and 1 account for checks)
The cash flow from customers and suppliers for the first month is handled manually because it is assumed that the company is in possession of accounting data updated of the closing dates of receipts and payments of the first month.
Moreover, the financial management of the first month has been divided into two parts:
- The first part includes the financial management from day 1 of the month to day 16 of the month;
- The second part includes financial management from day 17 of the month to the last day of the month;
This is because for example in Italy the majority of tax deadlines fall on the 16th of the month.
Dividend, the financial management of the first month in two parts we have tried to give the user "company" an immediate representation of its financial commitments to cope to its tax deadlines.
The financial planning of the second month may be, instead, managed either automatically or manually.
It will be the user to opting for the first solution (as it is not able to ensure to the financial management system all information of commercial collections and payments relating to the second month), or to the second solution (as the accounting data in its possession relating to the receipts and to the payments take precedence over any hypothetical financial planning).
From the third month onwards, the financial planning managed by the file "The management of cash flows" will only take place automatically.
The spreadsheet manages the financial planning also at the turn of the year, in the sense that the months, object of the planning of the following year, will be marked by the indication of the year interested from the planning. For example, the spreadsheet could include several months of the current year (2014) and some ones of the year subsequent (2015) perfectly inserted and indicated in the temporal context of competence.
The initial cash balances of each period of financial management are proposed automatically but can be changed manually by the user (the user does not opt, then, for cash balances offered by the system) to get closer more and more to the final results likely of its financial management.
For example, the opening balances of the second part of the financial management of the first month could be entered manually by the user to obtain, thus, a more accurate prediction of cash flows at the end of the second period.
Of course, changing or inserting new data into the system of financial planning will result in the modification, at waterfall, of all other related data.

The cash outflows provided in the spreadsheet called "Other Outputs" are indicated for each monthly period. Each financial outflow connected to the items listed in the table may be debited from each of the 13 banks expected in the spreadsheet.
So, for example, if the company has signed several leases or financing, the installments payable for each contract may be charged by one or more banks.
The spreadsheet represented by the previous image must be overhauled every month since it may be possible to update the old deadlines payable or updating new deadlines arising, for example, by the subscription of further new leases.
In addition, all financial outflows shown in the spreadsheet above indicated will converge, every month, in the cash flow general like represented in the image demo n.1.
This spreadsheet, as well as all other spreadsheets, provides for the management of financial outflows for the current year (n) and for the following year (n + 1).

This is one of the spreadsheets most important for the management of cash flows.
In fact, the proper management of this worksheet will allow the user "Company" obtain, with more precision, an forecast of the receipts and commercial payments of the months following the first one.
Also this paper is divided into three parts:
- The first part includes the receipts and commercial payments of the previous year (n-1);
- The second part includes the receipts and commercial payments of the current year (n);
- The third part includes the receipts and commercial payments the following year (n + 1);
The mechanism of the calculation of the commercial cash flow is simple although, apparently, seems complex.
As you can note, the data of the first part of this summary sheet of the commercial cash flows come automatically by the analytic cash flow of each store.
In essence, then, once you set all the necessary parameters, the user will not have to do anything but update each month the value of sales and the value of purchases actual with those probable or forecasted and launch the elaboration of the commercial cash flows.
Of course the elaboration of the commercial cash flow and, in any case, the elaboration of the entire document " Management of cash flows of the large distribution -3 POS" can be launched at any time and, however, after any changes to the data in the free cells and not protected.
